How the Autotask-to-FreshBooks Integration Works
The Autotask-to-FreshBooks integration uses the generic XML invoice file export feature of Autotask. Continue to use Autotask to generate invoices as you normally do, but instead of using Autotask to e-mail the invoice, send the invoices to FreshBooks using the itDuzzit file import utility.

Autotask Setup
The only setup required in Autotask is that you specify an email address for the contact that will receive the FreshBooks invoice. You must ensure that for each account, at least one contact in Autotask has an email address specified. If an account has multiple contacts with an email address, the first contact will be used. Alternatively, you can specify a specific email by setting the invoice email in Autotask. See the Autotask WebHelp for setting invoice preferences in Autotask.
itDuzzit Setup
If you don’t have an itDuzzit account, sign up now. When you log into itDuzzit, you should see the Autotask FreshBooks Integration on your itDuzzit dashboard.
If you don’t see the integration listed on your dashboard, then you’ll need to add the product to your itDuzzit account.
Then, you will need to:
- Connect your itDuzzit account to your FreshBooks account
- Connect your itDuzzit account to your Autotask account
Once you do that, you should see both applications listed as connections on your itDuzzit dashboard.
Copy Invoices from Autotask to FreshBooks
Invoices can be sent to FreshBooks by uploading the generic XML file using the itDuzzit File Import utility.
itDuzzit will display the results for each invoice in the file. You should check the itDuzzit results page, to ensure that each invoice was copied to FreshBooks successfully. A log of every file import is kept on your itDuzzits log page.
itDuzzit will automatically update the invoice number in Autotask.
If you need to run the file again, you can use the overwrite option. If the overwrite option is not selected, itDuzzit will not create a new invoice in FreshBooks if the Autotask invoice has an invoice number assigned.
Taxes. For invoices that have taxes, a single tax group is supported. You should pre-define the tax group in both FreshBooks and Autotask with a matching tax name. FreshBooks has a 15 character limit for tax name. If the tax is not found in FreshBooks, the total tax value will be added to the FreshBooks invoice as a separate line item.
Item Setup. You do not need to set up items in FreshBooks. The complete information for each line item will be imported into FreshBooks when the file is imported.
Copy Account Information from Autotask to FreshBooks
itDuzzit allows you to copy an individual account from Autotask to FreshBooks. This is optional, since the invoice file upload will automatically create the client in FreshBooks. The utility to copy an individual account can be found here. This utility can also be used to update client information in FreshBooks.
Note: If the client email address changes, it must be changed manually in both Autotask and FreshBooks.
Payment Notifications
The Autotask-to-FreshBooks integration does not automatically update payment status in Autotask. However, you can use the itDuzzit FreshBooks Payment Notifier to send yourself an email or text message when a payment is received.
About Pricing
The Autotask-to-FreshBooks integration costs $20/month and lets you synchronize unlimited invoices and customers. When you sign up for the integration, you will be given a free itDuzzit account which will allow you to run additional features such as our FreshBooks Notifier. Our itDuzzit accounts are priced by transaction volume. Your Autotask-to-FreshBooks integration transactions will not count toward these transaction limits.
